DomFleet helps companies keep a record of who has each of their vehicles. This page explains what DomFleet collects, why, who can see it, and how long we keep it. It covers domfleet.com and the DomFleet app, for the companies that use it, their drivers and admins, and anyone visiting the site.
The short version
- We record who picked up and returned which vehicle, and when, with a photo of the plate or the vehicle's QR sticker (and the odometer on returns).
- We don't track your location. Photos are re-saved on your phone before upload, which strips hidden GPS data.
- Your company's DomFleet admins can see their fleet's records. Nobody else's.
- We don't sell your information, show ads, or use advertising or analytics trackers.
- We don't text you or send marketing email.
Who is responsible for your information
DomFleet provides its service to companies. Your company decides who gets a DomFleet login, which vehicles are in the fleet, and how it uses the custody records. When we handle drivers' information, we do it on your company's behalf and following its instructions.
If you're a driver with a question about how your employer uses these records, ask your fleet admin first. You can also contact us at privacy@domfleet.com and we'll work with your company to answer it.
What we collect
- Login details. Your name and email address, entered by your fleet admin. Your password is stored scrambled by our login provider, so we can't see it. We also keep when you last logged in and whether your login is turned on.
- Custody records. For each pickup and return: the vehicle, the driver, the date and time, whether the plate photo verified it or an admin approved it, and which admin approved it.
- Photos. A photo of the license plate (or, if your company uses QR stickers, of the vehicle's sticker) for every pickup and return, and an odometer photo for every return. Your phone shrinks and re-saves each photo before it's sent, which removes hidden details like GPS location and phone model. A photo can still show what's around the vehicle, so aim at the plate or the odometer.
- Readings. What DomFleet read from each photo (the plate, or the sticker's code), whether it matched a vehicle, and when, including failed tries. We use these to limit retries and to check how accurate reading is.
- Fleet details. Vehicle numbers and license plates, entered by your admins.
- Technical information. Our hosting and database providers automatically log basic details of each request, such as IP address, browser type and time, for security and to fix problems.
We don't collect your location, your contacts, or anything else on your phone. DomFleet only receives the photos you take or choose in the app.
How we use it
- To keep the custody log: who has each vehicle now, who had it before, and the photo proof.
- To show your company's admins their dashboard, incident lookups, and downloads (PDF, CSV and Excel).
- To read the plate or QR sticker in each photo and match it to a vehicle in your fleet.
- To keep DomFleet secure, prevent abuse (for example, limits on how many photos can be sent), and fix problems.
- To check and improve how well plate reading works.
We don't sell personal information, use it for advertising, or use it to train AI models.
Who we share it with
- Your company's DomFleet admins, who can see their own fleet's records and photos. Once an admin downloads records, your company's own policies apply to that copy.
- Service providers that run DomFleet for us: Supabase (database, logins and photo storage), Vercel (hosts the website and app), and Anthropic (reads the plate in each plate photo). Anthropic receives plate photos only, never odometer photos or your name. Under its commercial terms, Anthropic does not use that data to train its models and keeps it only for a limited time. If your company uses QR stickers, no photos go to Anthropic: stickers are read on DomFleet's own server.
- When the law requires it, or when needed to protect someone's safety or our rights.
- If DomFleet is sold or merged, the new owner would take over this information under this policy.
Cookies
DomFleet uses one login cookie to keep you signed in. There are no advertising, tracking or analytics cookies.
Where it's stored
Records and photos are stored with Supabase on servers in Canada. Vercel may process requests on servers in the United States and other countries. Everything travels over encrypted (HTTPS) connections.
How long we keep it
We keep custody records and photos while your company uses DomFleet, because their purpose is to answer “who had this vehicle?” long after the fact. Your company can ask us to delete specific records sooner.
When a driver's login is turned off, we keep the account linked to past records so the history stays accurate. Your company can ask us to delete it completely.
When a company stops using DomFleet, we delete its records, photos and logins within 90 days, after giving its admins a chance to download them, unless the law requires us to keep something longer.
How we protect it
- Photos are kept in private storage. Only your company's admins can view them.
- Database rules make sure each person can only see what they're allowed to see.
- Drivers can't edit or delete custody records; only the server records them, after checking the photo.
- Every part of the app requires a login, and photo uploads are rate-limited.
No system is perfect. If you think your login was misused, tell your fleet admin and email us at privacy@domfleet.com. If a security problem affects your information, we'll tell your company promptly, and you directly where the law requires it.
Your choices
You can ask to see, correct or delete your information. Drivers can usually do this fastest through their fleet admin. You can also email us at privacy@domfleet.com. We'll confirm the request comes from you (or your company), coordinate with your company where the records belong to it, and reply within 45 days. Depending on where you live, you may have additional legal rights, and we'll honor them. We won't treat you differently for asking.
Texts and emails
DomFleet doesn't send texts or marketing emails. If we ever offer updates by text or email, we'll only send them if you clearly agree first, and every message will include a way to stop them.
Children
DomFleet is for businesses and their drivers. It isn't meant for anyone under 18, and we don't knowingly collect information about children.
Changes to this policy
If we change this policy, we'll update the date at the top. If a change affects how we use information already collected, we'll tell company admins before it takes effect.
